BowlOS Privacy Policy
How we collect, use, and protect information

This Privacy Policy explains how Red Cloud LLC, doing business as BowlOS (“BowlOS,” “we,” “us,” or “our”) collects, uses, and discloses information in connection with our website, software platform, and related services (the “Services”). It applies to:
- Bowling centers and their employees who subscribe to and use the Services (“Customers”).
- Visitors to our public website.
- End customers of bowling centers (“End Customers”) whose information we process on behalf of our Customers.
Our privacy commitment. We take privacy seriously. We do not sell personal information to third parties. We do not rent, lease, or trade personal information for marketing purposes. We give end recipients clear, customer-controlled mechanisms to opt out of marketing email and text messages, and we honor those opt-outs promptly. The remainder of this Policy describes our practices in detail.
For End Customers:BowlOS acts as a service provider to the bowling center you do business with. The bowling center is the controller of your information and is primarily responsible for how that information is used. Please review the bowling center’s own privacy notice for the most relevant disclosures, and contact them directly to exercise rights related to your information.
1. Information We Collect
1.1 Information You Provide Directly
When Customers register, configure their account, or contact us, we collect business contact details (name, business name, email, mobile or other phone number, mailing address), billing information processed by our payment provider, and any information submitted in support requests.
1.2 Customer Data Submitted Through the Services
Customers upload and generate data within the Services, which may include records of their End Customers (names, email addresses, mobile and other phone numbers, transaction history, reservation details, marketing preferences, SMS opt-in records, and similar information). We process this Customer Data on behalf of the Customer.
1.3 Information Collected Automatically
When you use the Services or visit our website, we automatically collect log data (IP address, browser type, pages viewed, timestamps), device information, and similar technical data. We use cookies and similar technologies on our public website for analytics and basic site functionality.
1.4 Email and SMS Engagement Data
When email or SMS is sent through the Services, we and our messaging providers collect deliverability and engagement data (delivery status, bounces, opens, clicks, unsubscribes, STOP requests, and spam or carrier complaints) to operate, secure, and improve the Services and to demonstrate compliance with applicable law.
2. How We Use Information
We use information to:
- Provide, operate, and maintain the Services, including authentication, transaction processing, and email delivery.
- Bill Customers and process payments.
- Communicate with Customers about service updates, security alerts, and support.
- Monitor sender reputation, prevent abuse, and enforce our Terms of Service.
- Improve and develop new features, in aggregated or de-identified form.
- Comply with legal obligations and respond to lawful requests.
We do not sell, rent, lease, or trade personal information to third parties. We do not use End Customer data to send marketing messages on our own behalf. We do not share mobile-number opt-in data with third parties for their own marketing purposes; mobile opt-in information collected by a bowling center for SMS programs is used solely to deliver the messages the recipient consented to receive.
3. How We Share Information
We share information only as described below:
3.1 Service Providers
We use vendors to operate the Services, including hosting providers, email service providers, SMS and voice messaging providers, payment processors, analytics providers, and customer support tools. These vendors process information on our behalf under contractual obligations to protect it. They are not permitted to use information for their own marketing purposes.
3.2 With Customers
End Customer information is made available to the bowling center that submitted or generated it. We do not share data between unrelated bowling centers.
3.3 Legal and Safety
We may disclose information if required by law, subpoena, or court order, or where we believe in good faith that disclosure is necessary to protect our rights, the safety of others, or to investigate potential violations of our Terms.
3.4 Business Transfers
If we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to standard confidentiality protections.
4. Email and SMS Practices
BowlOS sends two categories of messages — transactional and marketing — and supports both email and, where enabled by a Customer, SMS text messages.
4.1 Transactional Messages
Examples: account creation, password reset, two-factor authentication codes, billing receipts, support ticket replies, and similar messages tied to a specific transaction or relationship. We send these to Customers as needed to operate the Services. They cannot be unsubscribed from while you have an active account, but you may close your account to stop receiving them.
4.2 Marketing Email
We send periodic marketing email (such as product updates and newsletters) only to Customers and prospects who have opted in. Every marketing email includes a one-click unsubscribe link that we honor promptly. We do not send marketing email to End Customers on our own behalf. Recipients control their own opt-in and opt-out at any time using the unsubscribe link or by contacting us.
4.3 SMS / Text Messages
Where a Customer enables SMS through the Services, BowlOS transmits text messages to mobile numbers provided by the bowling center’s end customers. Mobile numbers and SMS opt-in records are used only to deliver messages the recipient has consented to receive and to comply with carrier and legal requirements. Message and data rates may apply. Message frequency varies. Recipients can opt out at any time by replying STOP (or similar keywords such as END, CANCEL, UNSUBSCRIBE, or QUIT), and HELP for assistance. We honor opt-outs immediately. We do not share mobile opt-in information with third parties for their own marketing purposes.
4.4 Messages Sent Through the Services by Customers
When a Customer uses BowlOS to send email or SMS to its End Customers, the bowling center is the sender and is responsible for obtaining consent and complying with applicable law (including CAN-SPAM, the TCPA, state mini-TCPA statutes, and CTIA messaging best practices). We require Customers to comply with our Acceptable Use and Anti-Spam terms and we monitor sender behavior to protect deliverability and recipient experience.
5. Data Retention
We retain Customer account information for the duration of the subscription and for a reasonable period afterward to support reactivation, dispute resolution, and legal compliance. Customer Data is retained while the account is active and for thirty (30) days after termination, unless a longer period is required by law. Email engagement logs are retained as needed to operate the Services and demonstrate compliance, typically for up to two (2) years.
6. Security
We use industry-standard administrative, technical, and physical safeguards to protect information, including encryption in transit, access controls, and regular security reviews. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your Choices and Rights
7.1 Customers
Customers can update their account information, manage Authorized Users, and configure data settings within the Services. To close an account, contact us at the address below.
7.2 End Customers
Because BowlOS processes End Customer data on behalf of the bowling center, requests to access, correct, delete, or restrict the use of End Customer data should be directed to the bowling center. We will support our Customers in responding to those requests as required by law.
7.3 Email and SMS Choices
You can unsubscribe from BowlOS marketing email using the link in any marketing message. You can opt out of SMS messages at any time by replying STOP. To opt out of email or SMS sent by a bowling center, use the unsubscribe link or STOP keyword in the message, or contact the bowling center directly. We honor opt-out requests promptly and do not require any explanation.
8. Children
The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. Bowling centers should not upload information about children under 13 to the Services without verifiable parental consent and should configure their own collection practices to comply with the Children’s Online Privacy Protection Act (“COPPA”) where applicable.
9. United States Operations
BowlOS is based in the United States and provides the Services to bowling centers operating in the United States. Information is processed and stored in the United States. If you access the Services from outside the United States, you understand that your information will be transferred to and processed in the United States.
10. State Privacy Rights
Residents of certain U.S. states (including California, Colorado, Connecticut, Virginia, and others) may have additional rights under state law, including the right to know, access, correct, delete, and opt out of certain processing of personal information. Where these rights apply to information BowlOS holds about you directly, you may exercise them by contacting us using the information below. Where the information is held on behalf of a bowling center, please contact the bowling center directly.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version with a new “Last Updated” date and, for material changes, provide additional notice (such as by email or in-product notification).
